A practical handoff checklist for a subtitle file

Separate structural checks, content review and final playback before handing a file to another person.

Start with the right source

Confirm that the subtitle belongs to the final video cut and language. A technically valid file for an earlier edit can still be unusable. Keep the original transcript or exported subtitle intact, and create a new working copy for changes.

Use an SRT or WebVTT UTF-8 text file. This workbench does not extract captions from a video, process image-based subtitles or recognize speech. Its current input limit is 2 MiB and 10,000 cues per file; large files should be split with a tool designed for that workflow.

Check structure first

Run the checker and resolve malformed timestamps, timing lines without cues, empty text and end times that precede starts. Warnings about numbering or ordering deserve inspection, but they are not necessarily the same kind of problem as a timestamp the parser cannot read.

The exporter refuses structurally damaged inputs. It does not make a partial file by quietly discarding the cues it failed to parse. If you repair an input in the text area, run the check again and retain a record of the change.

Review meaning and delivery

Watch the beginning, a representative middle section and the end in the final player, then review the complete video when the delivery matters. Check names, punctuation, speaker changes and meaningful sounds. A structural report cannot verify any of these against the audio.

Inspect warnings with the actual picture and soundtrack. A deliberate overlap for two speakers, a technical term that needs more reading time or a subtitle placed over other on-screen text may require a choice rather than an automatic repair.

Export and compare

Preview a timing adjustment before downloading it. Compare the original and exported file to see whether starts, ends, text or cue settings changed. Comparison pairs cues by position: if you inserted or deleted a cue, review correspondence manually.

Deliver the subtitle alongside the agreed video version and a clear filename. A JSON diagnostic report can help reproduce the checks, but it is neither a certification nor a substitute for the receiving person's style guide.
